Women in Oral Development Ecosystems (WODE) Kenya ("WODE Kenya", "we", "us") is committed to protecting your personal data. This Privacy Policy explains what information we collect when you use this website or register for the WODE 2026 Convening, how we use it, and your rights over it.

Registration & ticketing

  • Full name and professional title
  • Email address and phone number
  • Organisation / employer
  • Country of residence
  • Dietary requirements or accessibility needs (where provided)
  • Payment transaction reference (we do not store card numbers)

Website usage

  • IP address and browser type (via server logs)
  • Pages visited and referring URL
  • Cookies and similar technologies (see Section 8)

  • Any information you provide when you email or contact us

3. How We Use Your Data

  • Processing your registration and issuing tickets or confirmation emails
  • Managing check-in and attendance at the Event
  • Sending you important Event updates, logistics information, and programme changes
  • Generating your certificate of participation
  • Improving our website and future events through aggregated analytics
  • Complying with our legal and financial obligations
  • Sending you marketing communications about future WODE events (only with your consent — see Section 4)

5. Sharing Your Data

We share your data only as described below. We do not sell personal data.

  • Payment processors — to process your ticket purchase securely.
  • Email service providers — to deliver registration confirmations and event communications.
  • Venue staff — limited data (name, dietary needs) for on-site logistics.
  • Co-organisers and sponsors — aggregated or anonymised delegate statistics only, unless you have given separate consent.
  • Authorities — where required by Kenyan law or a valid legal order.

All third parties who process data on our behalf are required to keep it confidential and use it only for the purposes we specify.

6. Retention

We retain registration and payment records for seven (7) years to comply with financial and tax regulations. Event photographs and videos may be retained indefinitely for promotional purposes. Website analytics data is retained for a maximum of 26 months.

Where you have given consent for marketing communications, we retain your contact details until you withdraw consent or request deletion.

7. Your Rights

Under applicable data protection law you have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — ask us to correct inaccurate or incomplete data.
  • Erasure — request deletion of your data where there is no overriding legal basis to retain it.

No method of transmission over the internet is completely secure; we cannot guarantee absolute security.

10. Children's Privacy

The WODE 2026 Convening is a professional event intended for adults. We do not knowingly collect personal data from children under the age of 18. If you believe we have inadvertently collected such data, please contact us immediately.

We may update this Privacy Policy from time to time. The effective date at the top of this page will reflect the most recent revision. Material changes will be communicated by email to registered attendees.
